Hayes & District Pool League – Terms & Conditions of Entry

Effective Date: 1st January 2026

By registering for and participating in Hayes & District Pool League (“the League”), all players and teams agree to the following terms and conditions:


1. Participation & Registration
• Players must be registered with the League before taking part in matches.
• Teams are responsible for ensuring their players are eligible and comply with these Terms & Conditions.
• The League Committee reserves the right to make final decisions on fixtures, disputes, and discipline.


2. Fixtures & Results
• Teams must fulfil all scheduled fixtures unless exceptional circumstances apply.
• Results must be submitted in the required format within the stated time frame.
• Failure to play fixtures or report results may result in penalties, including forfeits or points deductions.


3. Code of Conduct
• Players and teams must show respect towards opponents, referees, spectators, and venues.
• Abusive, discriminatory, or disruptive behaviour may result in warnings, suspensions, or expulsion from the League.
• Players are responsible for their conduct both on and off the table during League activities.


4. Media: Photos, Videos & Livestreaming
• League matches and competitions may be photographed, recorded, or livestreamed by the League. These may be shared publicly on platforms such as Facebook, Instagram, TikTok, and YouTube.
• By registering for the League, players agree that they may appear in such media.
• The League will take reasonable steps to notify teams before matches are livestreamed.
• Players who do not wish to appear in livestreams or recorded media must notify the League before registering. As livestreaming is a regular feature of League activity, players who object may not be able to participate in certain matches or competitions.
• The League will take reasonable steps to accommodate requests but cannot guarantee complete exclusion from footage (e.g. in wide-angle venue shots).

 

 


5. WhatsApp Community
• The League may operate WhatsApp groups for communication.
• By joining, players acknowledge their phone number will be visible to other members.
• The group must be used respectfully; offensive, abusive, or disruptive behaviour may result in removal.


6. Safeguarding
• Players under 18 must provide written parental/guardian consent to participate in the League and to appear in media coverage.
• The League will take appropriate steps to protect children and vulnerable adults in line with safeguarding principles.


7. Disciplinary & Appeals
• The League Committee may issue warnings, deductions, suspensions, or expulsions for breaches of these Terms & Conditions.
• Appeals must be submitted in writing within 7 days of the decision. The Committee’s decision will be final.


8. Liability
• Players participate in the League at their own risk.
• The League is not liable for personal injury, loss, or damage to personal property, except where caused by negligence of the League.
• Players are responsible for their own transport, equipment, and insurance.


9. Agreement

By signing up to Hayes & District Pool League, players and teams confirm that they:
• Have read and understood these Terms & Conditions
• Agree to comply with League rules, Code of Conduct, and Privacy Policy
• Accept that names, results, and statistics may be published, and that League activities may be photographed, recorded, or livestreamed
